The Document Controller is responsible for managing, organizing, and maintaining all project and organizational documentation to ensure compliance, and accessibility. This role ensures proper document control procedures are followed, supports teams with documentation needs, and maintains effective filing systems—both digital and physical.
Key Responsibilities
Maintain and manage electronic and hard-copy filing systems in accordance with company standards.
Track document versions, revisions, and updates to ensure all stakeholders use the latest document
Distribute documents internally and externally as required by project workflows.
Monitor document workflows to ensure timely reviews and responses.
Implement and enforce document control procedures and naming conventions.
Conduct periodic checks and audits of documentation accuracy and completeness.
Ensure compliance with company policies, standards, ISO requirements, and client/project guidelines.
Generate reports, logs, and status updates for management.
Personal Skills
Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field.
Professional training or certification in document control or information management is preferred.
Excellent attention to detail and accuracy.
Strong communication skills, both verbal and written.
Ability to manage high volumes of documentation under pressure.
Strong sense of confidentiality and professionalism.
Technical Skills
Experience
Experience in construction, engineering, consulting, or PMO environments is an advantage.
Demonstrated experience using EDMS platforms such as Aconex, SharePoint, Procore, or similar tools.
Technical Skills
Strong understanding of document control methodologies, versioning systems, and archiving standards.
Proficiency in Microsoft Office Suite and document control software.
Knowledge of quality standards such as ISO 9001.
Ability to create structured filing systems and maintain organized repositories.
